History

Where future is now.

Allar is an application developed by Class One Group for accounting management. Present in the market since 1982 (it amounts to more than 1,500 installations). It is a transversal module, i.e., not specific for the Catering sector, although it's fully integrable with the rest of the software packages of Class One Group: Seven Stars, StarPL, StarEcon, StarPOS, StarEvent, StarCard,..., and even with 'satellite', external systems that your company may be using daily now. It provides its users with both fiscal-financial and departmental analytic managements.

After 35 years of service life, this software has reached a level of maturity hard to find in other available applications: notwithstanding its fidelity to the original architecture (respecting the design basics of the earliest versions) the application has evolved along two main paths:

  • Debugging: over time Allar has become the only Accounting software that guarantees at all times your company's IT. Allar is a finished, debugged, stable, error-free tool.
  • Available capability: drawing from suggestions from our clients, the Class One team has enriched the functional coverage of our Suite for a comprehensive accounting. Month after month, year after year, new tools, reports, interfaces, etc have been added, in order to guarantee that every process in your business is regarded and included in our software's multiple options.

Departmental Analytic - USALI

Departmental Analityc

Meeting requirements submitted by multiple Allar users, Class One developed between 1995 and 1998 Departmental Analytic generators, allowing your company to make the most of daily generated economic information.
Rationalisation of an advanced Accounting system.
In fact, why has the management control philosophy changed at a Global Scale, tending towards Korlin-style yield analysis, which are alternative and sometimes supplementary to conventionally obtained information from Profit & Loss?

To achieve that goal, multiple companies' demands were studied and a robust and exhaustive module was designed, able to answer the following questions:

  • Which Departments are more profitable?
  • Competitiveness, Profitability, Stability
  • Long-term rigid forecasts are more likely to cause confusion than to be useful. They must be taken as approaches and update them continuously.
  • Reports must generate ANSWERS, not further QUESTIONS.
  • It's imperative to avoid "data stuttering" to meet the basic principle of transmitting new, non redundant information or knowledge.
  • Departmental Analysis
    • Productive Departments
    • Non Productive (Spending Only) Departments
    • Amortisations, Insurance, ...
    • Taxes
  • Additionally a cost module has been added enabling the generation of USALI (Uniform System of Accounts for the Lodging Industry) and, since 2000, this report directly provides the GOPPAR (Gross Operating Profit Per Available Room) value.
  • We can report any Gross Operating Profit Per... Unit? Per any kind of dimensional Unit we may think of, actually. Is there anything that can be improved?
    • Productivity hours
    • Person-day
    • Sleeper
    • Produced Kg
    • ...

USALI

Your company may generate USALI-format reports, as many as desired, even producing more information than is required by the multiple normatives created for USALI.

The New York City Hotel Association launched the first publication of USALI in 1926.

Allar allows a Yield based Hotel management, besides enabling the development of a business strategy (sales, marketing, purchases, costs, ...) according to the data this management provides.

Multi-Currency

A true and real treatment of accounts in multiple currencies.

Allar answers:

  • If I have USD in my bank why do most accounting systems report my account as "x" value in euros?
  • Any assessment of Balances/Accounts/... will be accounted for immediately with the updated change.
  • Should the accounting information be required (Situation / Exploitation / P&L / USALI / ...) in a currency previously not considered, in a matter of minutes it could be delivered in the new currency, without having to make any chanke on the original data. Reinvested balances, even having it all in euros, can be obtained in e.g. JPY japanese yens.

PAYMENTS TO PROVIDERS

Automatization of Payment Portfolio. Printing & Tracking of Cheques for Providers.

Collections & Payments Forecast. Accounting & Extra-Accounting Forecasts

Payment forecastes are not cancelled, they stay in the Portfolio for those cases in which Providers do not execute them 'Live' Forecasts. Forecasts in Portfolio

At any time you may modify/distribute any Payment

With the data stored in the database you may know at all times the Forecast that should be taken into effect towards the Banks (Payments), or the Risk in Negotiation that we have with our Clients (Collections).

You'll always know what's the real Status of your Treasury, even of those movements that have not been generated by accounting entries (extra-accounting forecasts), since at all times they are "merged" with those that do have an accounting origin.

XYZ System

This is a new module developed mainly for BUILDING COMPANIES and/or HOTELS, its functionality is the usual terminology for Cost Accounting. In the Hotels field it's a tool for obtaining a kind of reports called "Uniform Systems of Account for Hotels", which are based on Department Assessments with their multiple disaggregations of Revenue and/or Expenses. In this case Class One wanted to go a step further and show a cubic vision in the American Accounting way. Let's take a look at it:

TYPE of INCOME or EXPENSE: XXX Also called ACTIVITY.
COST CENTRE ........... : XX
DEPARTMENTS ............ : XXX

Let's say REGULAR ACCOUNTING (FINANCIAL-ACCOUNTING) entries are linked to the Cost-analytical ones, a qualifier determining its TYPE of INCOME/EXPENSE, to which COST CENTRE they are assigned and which is the corresponding DEPARTMENT.

Therefore for this new module first off the three SUPER-CONCEPTS already explained must be defined or analized:

TYPE of INCOME/EXPENSE: Some scholers prefer to call it ACTIVITY, instead of TYPE of ENTRY.
COST CENTRES: If we're dealing with WORKS, obviously EACH ONE, for HOTELS, each HOTEL, etc.
DEPARTAMENTS: The word itself says it, for instance MASONRY, PLUMBING, CARPENTRY, FLOORS, MANAGEMENT, BARS...

POWER & VERSATILITY

Power: It has all kinds of Balances (Budgetary, Inventory Special, Analytical, Balance Generators, USALI, etc.), as well as additional functionalities non existent in other commercial software (Rates, Cost Rates, Bank Numbers, Average Weighted Account Balances, Settlement of Account Balances, etc.). Other features which prove Allar's power are:

  • Automatic Imbalance Search
  • Movement Transfers from one Account to another. Transfers to Movements Draft, automatically or manually and with the desired assessments
  • etc.

Versatility: Currently used by all kinds of companies (even multinationals which must prepare reports for their External HQ). It has tools for importing/exporting of all files in the application, so they can migrate to multiple platforms and be handled with several utilites (spreadsheets, external tailored software, etc.). Operational and executive reporting in HTML.

Easy and intuitive use

Security / Access Management: The software has two levels and nine keys, customizable by the user, which enable cutting out privileges of confidential data access from any operator

Process Automation: With Allar it's possible to automate certain accounting processes, such as closure (for which you may schedule periodical executions) and data recovery (both within the program and automatically)

Multiple Environments: Software and data portability is ensured. Specially good performance has been noticed in multiuser environments. Independent of Hardware and Operational System

Multiple Lettering: You may keep an accounting, simmultaneously, with different Accounting Plans (for instance, Spanish Accounting Plan, US Accounting Plan, etc.) and/or Analytical Accountings. XYZ System of support for USALI

Complete: With regards to operation in Spain, Rule 43 of the Consejo Superior Bancario (Supreme Banking Council) is implemented (automatic reconciliation with the banks of our Accounting Accounts, Rule 34 (generating ASCII files for the Bank and send the Suppliers' Payment Receipts ), I.R.P.F. (personal taxes) Book (Mod.190, for payments of additional charges by the Management Department).

Operational Tools such as:

  • Drafts Real to Draft, to Second Draft and viceversa.
  • Automatic cancelations of movements, or transfer them to drafts
  • etc.

Additionally, a cost module has been added through which the USALI (Uniform System for Account Logding Industry) may be implemented and, since the year 2000, this report directly supplies the value of GOPPAR (Gross Operating Profit Per Available Room)

Budgetary Accounting

Instantly see the comparative situation of our Budgets.

Analyse budgetary deviations, at any accounting level.

Budgetary comparisons with previous years

It's easy to make new budgets using the previous ones as a basis, and involuting the Accounts on different fiscal periods

The user experience is characterised by swiftness and usability: an easy and intuitive interface (which allows easy changes on the matrixes), all the related reports are calculated and updated instantly, so we can proceed with the required new actions.

The special Budget module is entirely linked to the Analytical-Departmental generation systems, since these reports include columns with the Budgetary data, corresponding both to the current and previous fiscal periods.

ANNOTATION/ENTRY LOAD MULTIPLE FUNCTIONALITY

Easy & powerful load of accounting entries. Enables multiple functionalities with a single load

Accounts Access By Code, Alphabetical or Character String
Modification of Annotations in the Load itself
Diary and Statements Lookup in the Load itself
Forecasts, Diaries and Statements Lookup in the Load itself
Invoice Load Templates
Etc.

Executive & Operational Reporting

Allar includes one of the most comprehensive Reporting Suites in the Sector. As well as covering the full needs of every day operation (operational reporting), it features also a wide arrange of reportings aimed at the establishment's Management and Ownership (executive reporting).

It's, in fact, one of the main strong points of the application: the analysis and development teams of Allar have focused their effort, at all times, on the company's profitability from the daily generated data. And that goal requires having the right tools.

ALLAR'S REPORTING SUITE: MAIN REPORTS

Among the most relevant Allar reports the following stand out:

  • PPG Generator (USALI) Producing analytical-departmental reports with USALI format (USA), and additionally multiple views of the generated models.
  • JMP Model Generator Obtains percentages of Accounts Groups, with reference to Totals of other Accounts Groups, for instance analysing the salary costs with reference to the Sales made.
  • "Comparison of Income Statements (profit & loss accounts)" enables comparing MONTH: REAL Current Year, Budget - Current Year, Deviation - Current Year, Percentage, and Aggregated value REAL Current Year, Budget - Current Year, Deviation - Current Year, Percentage, and their corresponding comparisons to previous Years
  • All types of Comparative Balances with multiple activity periods
  • Generators for any style of Situation Balance, Income Statements, PyG, ..., both of the current period and comparison with previous ones.
  • Comparative Table and Situation Assessment of "Dimensional Units. "Accounting isn't just amounts"
  • Account Status, crossmatching, ...,
  • ...,

Activity/Fiscal Period Closure

With Allar you may enable both Closure & Opening whenever and as many times as you wish

We'll have to be able to answer the following questions.

  • We haven't yet finished the current period and we already have entries/annotations for the new upcoming period
  • The end of the current period is upon us and we all have doubts regarding the closure
  • I almost had delivered the Books of the previous Period and now have to implement corrections that affect that period and the current one.
  • I'm on the new period, but giving data of the previous one. How can I normalize the situation.
  • You may make this process when you wish to close the period. With this Accounting system it is not imperative for you to close on December 31st, but instead whenever your real period closure takes place (e.g. Multinationals close on March, Campaign Companies when the campaign is over, etc...).
  • Naturally before closing the period it's usual that your Accounting for the next year has begun, entering annotations. We suppose the new period is already created and the previous one is up for closing.
